About the RoleThe Project Coordinator plays a pivotal role in supporting the delivery of Ecosure’s ecological field projects. This role involves planning, coordinating, and tracking of a diverse range of projects for the fauna and ecological restoration field teams. The Project Coordinator works closely with project managers, ecologists, clients, landholders, and regulatory agencies to ensure projects are delivered efficiently, compliantly, and to the highest quality standards.
Key Responsibilities
Project Coordination and Administration
Provide support to Project Managers in planning and delivery of projects (i.e. resource scheduling, establishment of tasks, budgets, documentation etc.)
Provide assistance to Project Managers with the monitoring of projects to ensure they meet defined project objectives, client expectations and internal and external compliance requirements
Ensure all projects are managed as per the project management requirements and all details accurately entered in our Project Management software (project set up, forecasting, etc.)
Identify and communicate risks to successful project delivery (.e.g. timeframes, budgets, contract requirements, resource availability etc.) and coordinate with Project Managers and team members to implement mitigation measures.
Maintain project documentation (e.g., scopes of work, contracts, field data, compliance records, safety artefacts and stakeholder correspondence).
Management of client induction and contractor management requirements and online portals
Facilitate and support Ecosure’s integrated management system framework and audit requirements ensuring quality, environmental and safety considerations are championed and integrated in your work
Proactively respond to and address business enquiries and client work requests coming through portals, website, email or phone
Administer, distribute and follow up meeting requests, agendas and minutes as required
Assist Project Managers with tracking project timelines, deliverables, and budgets to ensure successful on-time completion.
Assist in the preparation and timely delivery of project proposals and client reports.
Stakeholder Engagement
Liaise with clients, subconsultants, local councils, Traditional Owners, and state government departments (e.g. DES, DNRME, DAFF) as required for project delivery.
Support communication between field teams, consulting staff and support staff to facilitate smooth project delivery.

Key Requirements
Essential
2+ years experience in a project coordination or similar role
Proficiency in Microsoft Office Suite and familiarity with project management software
Desirable
Familiarity with NetSuite
Proficiency in Microsoft Power Automate tools and software (workflows, Powerapps, PowerBI)
