The Opportunity

As a Project Coordinator, you will play a pivotal role in ensuring projects move seamlessly from production through to delivery and installation. Acting as the central link between the office, factory, transport providers, installers, and clients, you will be responsible for coordinating schedules, managing project information, and ensuring all stakeholders have the information they need to deliver successful outcomes.

Scope of Work

Reporting to the Operations Manager, your responsibilities will include:

  • Coordinating transport and delivery schedules to ensure projects are delivered on time.

  • Confirming site access requirements, delivery windows, and unloading arrangements with clients and site personnel.

  • Conducting pre-dispatch checks to verify loads against drawings, job sheets, and delivery documentation.

  • Capturing and maintaining photographic records of completed loads prior to dispatch.

  • Monitoring and updating project tracking systems, schedules, and job status reports.

  • Tracking production, delivery, and installation milestones to ensure project timelines are met.

  • Maintaining accurate project documentation and ensuring records are stored correctly.

  • Ensuring production, site, and installation teams are working from the latest approved drawings and revisions.

  • Liaising with builders, site supervisors, installers, engineers, transport providers, and internal stakeholders.

  • Attending site visits as required to assess project readiness and identify potential delivery or installation issues.

  • Following up outstanding information, approvals, and documentation required to progress projects.

  • Tracking project variations, additional works, and outstanding actions.

  • Coordinating engineer inspections and site inspections where required.

  • Recording and assisting in the resolution of delivery issues, damaged materials, or missing items.

  • Escalating project risks, delays, and priority matters to management.

  • Supporting production teams by communicating urgent priorities and delivery deadlines.

  • Assisting installation teams with schedules, drawings, and site-specific information.

  • Maintaining clear and effective communication between the office, factory, transport providers, installers, and clients.

  • Undertaking other project coordination and administrative duties as required to support business operations.

Requirements

To be successful in this role, you will be able to demonstrate:

  • Experience coordinating deliveries, schedules, resources, or project timelines within a construction, manufacturing, engineering, or related environment.

  • Previous experience in a Project Coordinator, Contracts Administrator, Scheduler, Logistics Coordinator, Construction Administrator, or similar role.

  • Exposure to project management, scheduling, ERP, or job management systems.

  • Understanding of construction processes, site operations, and delivery logistics.

  • The ability to read and interpret construction drawings, plans, and project documentation.

  • Excellent communication and stakeholder management skills, with the confidence to liaise with clients, builders, installers, suppliers, and internal teams.

  • Strong problem-solving skills and the ability to proactively identify and resolve issues before they impact project outcomes.

  • A valid WA drivers’ licence

  • A valid Construction White Card
