We are seeking an experienced Project Finance & Administration Coordinator to join our Business Support Team in a full-time, office-based role. This is an exciting opportunity for someone who wants more than a traditional finance position.

About the Role

Reporting directly to the Business Manager, you will play an integral role in supporting the financial and administrative functions of the business. You will act as the primary point of contact for project finance and administration enquiries, providing day-to-day support and guidance to the business support team, and escalating matters to the Business Manager where required.

Key Responsibilities

  • Act as the first point of contact for finance and project administration requirements

  • Establish and maintain project records, registers and financial documentation

  • Coordinate project setup across multiple business systems

  • Prepare, submit and manage progress claims and tax invoices

  • Monitor accounts receivable and undertake credit control activities

  • Maintain the Bank Guarantee Register, including new requests, returns and reconciliations

  • Coordinate project close-out activities and completion documentation

  • Maintain customer and project information within MYOB and other business systems

  • Liaise with clients, project managers, subcontractors and internal stakeholders

  • Support month-end financial processes and reporting requirements

  • Prepare weekly reports for the Business Manager including, cash flow, debtor, creditor and other project and finance reports

  • Reconcile company credit card statements and nominated bank accounts

  • Assist with quarterly reporting requirements including Fuel Tax Rebate calculations, and other finance and administration reports

  • Back up to Business Manager 

  • Assist Business Manager and Director with other duties as required

About You

To be successful in this role, you will possess:

Essential

  • At least 3 years experience in a similar finance and accounts administration role

  • Strong attention to detail and a high level of accuracy

  • Excellent organisational and time management skills

  • Well-developed analytical and problem-solving abilities

  • Excellent written and verbal communication skills

  • Intermediate to advanced Microsoft Office skills, particularly Excel

  • Experience using MYOB or similar accounting software

  • Ability to prioritise competing tasks and meet deadlines

  • Ability to work independently when required, demonstrating initiative and take ownership of responsibilities

  • A positive, proactive and team-focused attitude

Desirable

  • Previous project administration experience

  • Experience within the civil construction, engineering or contracting industries

  • Experience with progress claims and accounts receivable processes

  • Experience preparing month-end reports and financial reconciliations
